Reference and Instruction Library Assistant - Loyola Marymount University

The Reference and Instruction Library Assistant manages and oversees basic operations for the Information Commons and Information Desk to ensure high-quality information services for the entire LMU community. Responsibilities include staffing the Information Desk and chat service; hiring, training, supervising, and scheduling all student employees who staff the Information Desk; and collaborating with ITS and the Library Systems Assistant on the maintenance of all equipment in the Information Commons. The incumbent reports to the Instructional Design Librarian, and serves as an essential part of the library’s Reference & Instructional Services Department.Position Specific Responsibilities / Accountabilities

Information Commons

  • Staff the Information Desk in person and by phone to provide technology, directional, and basic library assistance to LMU students, faculty, staff, and the greater LMU community. Track all questions via a statistical tracking application. Also provide online assistance via the library’s “Ask a Librarian” chat service.
  • Oversee maintenance of the Information Commons area, including notifying ITS and the Systems Assistant for needed troubleshooting and upkeep of printers, copiers, scanners, and computers.
  • Manage, update, and implement all online and face-to-face Information Desk training for students and contract employees. Create and monitor the Information Desk schedule each semester.
  • Keep all Information Desk workers notified of policy changes, technical problems, etc. that impact service and update the public services wiki and library FAQ as changes occur.

Supervision of Student Employees

  • Manage and supervise the work study team of 10-15 students for the Information Desk, including hiring, scheduling, training, evaluating, budgeting for, and timekeeping. Develop general Information Desk student employment guidelines and procedures according to library-wide standards.
  • Support student employee training and development, and write student employee performance reviews.

Instructional Support

  • Schedule all library instruction classes taught by the Reference and Instruction Dept. and serve as primary contact point for faculty.
  • Schedule other library classroom reservation requests from the LMU community.

Administrative Support

  • Monitor the reference email account, forwarding more complex queries to librarians as needed.
  • Participate in meetings and strategic planning in support of the library and the Reference and Instruction department.
  • Represent the William H. Hannon Library within the library and campus community as appropriate.
  • Perform other duties as assigned or requested (for example, editing LibGuides, compiling statistics, or engagement in department and all-staff meetings and programs)

Location & Hours

This position is at the William H. Hannon Library, on the university's Westchester campus. Incumbent is expected to work fully on-site, with a typical schedule during core business hours Monday-Friday. Occasional nights and weekends may be required.

Hiring Salary Range

$23.08 - $26.92 hourly. This position is non-exempt.

Requisite Qualifications

  • Typically a Bachelor’s Degree in any discipline or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities.
  • Minimum 3 years related library experience, preferably in public services in an academic library.
  • Demonstrated knowledge in the areas of public services library operations, including electronic library catalogs, basic operation of personal computers, printers, and copiers, and basic print and online reference resources.
  • Exemplary communication skills
  • Proficient in Mac and Windows operating systems and commonly used productivity software such as Microsoft Office and Adobe products
  • Ability to work patiently and cooperatively with faculty, students, and other library patrons from a variety of backgrounds.
  • Demonstrated ability to perform detailed work with a high degree of accuracy and to work independently within a framework of assigned responsibilities. Ability to perform with frequent interruptions and distractions.

Preferred Qualifications

  • Technology troubleshooting abilities for Mac, Windows OS, printing applications, and productivity software.
  • Experience hiring, training, and supervising college or university student assistants.
